Bearly CRM: what already works

We are building Bearly CRM from scratch — our own stack, our own decisions, without compromises dictated by off-the-shelf platforms. Time for the first progress update.


What we have ready

Plugin system

The CRM has a working plugin system — modules installed independently, enabled and disabled without restarting the application. The first four plugins are already in production:

  • Newsletter (Listmonk) — automatically adds contacts and form submissions to mailing lists
  • Task Board — a Kanban board with projects, epics, and tasks, directly in the CRM
  • Discord — personalized notifications on selected CRM events
  • Serwer MCP — exposes CRM tools to AI agents in read-only mode

Each plugin has its own configuration, its own events, and operates independently from the rest. Disabling one does not break anything else.


Mailbox module

This was a bigger piece of work. Bearly CRM now has a built-in mailbox — not an integration with an external client, but a native IMAP/SMTP module directly in the application.

What this means in practice:

  • You receive emails in the CRM — without switching to Gmail or Outlook
  • You send messages from the contact card — correspondence history in one place
  • All client communication is part of their profile in the CRM, not scattered across private inboxes

What is next

We are now working on automatic reply suggestions with approval via Discord.

The flow looks like this: an email arrives → AI generates a reply suggestion based on contact history and company knowledge → a Discord bot sends the suggestion for approval → one click and the email goes out.

The current version supports approval via Discord — because that is what we use ourselves and it was first. Slack is next in line, because we know that is where most companies live.

No copying between tools. No opening another window.


Why we are building this ourselves — and why it will be free

Off-the-shelf CRMs have mailboxes. They have AI integrations. But always within their system, their data model, their constraints — and always with a monthly bill that grows with the team.

We approach this differently.

Bearly CRM will be available as self-hosted, for free. You deploy it on your own server — we provide a ready image, you decide where and how. Your data stays with you, no monthly bills.

For companies that want someone to do it properly — we offer full implementations: from installation and configuration, through integrations with existing systems, to dedicated plugins tailored to a specific process. This is not ticket-based support — it is a technical partner who knows your stack.
