Data controller
The controller of your personal data is Bearly sp. z o.o., with its registered office in Warsaw (03-289) at ul. Ostródzka 130, Poland, entered in the Register of Entrepreneurs of the National Court Register (KRS) under number 0001184510, NIP 6452594685, REGON 542259681.
For data-protection matters, contact us at office@bearly.pro or +48 515 625 008.
What data we collect and why
The only place we collect personal data is the contact form. It asks you for:
- your name,
- your email address,
- optionally your company name,
- answers to the form questions (the situation and follow-ups).
We process this data solely to reply to your inquiry and to discuss possible cooperation. The legal basis is Article 6(1)(b) GDPR (steps taken to enter into a contract) and Article 6(1)(f) GDPR (our legitimate interest in handling business inquiries). Providing the data is voluntary but necessary for us to get back to you.
Who we share data with
Form submissions go into our internal Bearly CRM system, where we handle inquiries. The system runs on infrastructure provided by Hetzner Online GmbH, located in the European Union. Hetzner acts as a data processor on our behalf and does not use the data for its own purposes; the data is not transferred outside the European Economic Area.
We do not sell or share your data with third parties for marketing purposes.
How long we keep data
How long we keep your data depends on whether your inquiry leads to cooperation:
- Inquiries that do not lead to cooperation are kept for up to 24 months from our last contact, after which we delete or anonymise them.
- Inquiries that lead to cooperation are kept for its duration and then for the period required by law (including tax accounting — typically 5 years from the end of the accounting year). We delete data no longer needed before that period ends.
Cookies and browser storage
This site does not use cookies. Apart from the analytics described below (Umami), we use no tracking or profiling tools. In your browser (localStorage) we store:
- your chosen light or dark theme — only when you click the toggle yourself;
- your decision about optional session recording / heatmaps (accept or decline) — only when you respond to the banner.
This information never leaves your device, is not used for marketing profiling, and is not linked to contact-form data. For this reason the site does not require a cookie consent banner — we ask for consent only for optional session recordings (see below).
Analytics
To measure site traffic we use Umami — an open-source, privacy-friendly analytics tool hosted on our own infrastructure in the European Union (umami.bearly.pro).
Page views and interaction events
Umami collects anonymised, aggregated statistics: page views, country, device type, referral source, and selected interaction events (such as CTA clicks, FAQ opens, or form submission — without message content, name, or email). It uses no cookies and creates no persistent user identifier. The legal basis is our legitimate interest (Article 6(1)(f) GDPR) in analysing traffic and improving the site. This layer does not require a consent banner.
Session recordings and heatmaps (optional)
With your explicit consent (Article 6(1)(a) GDPR) we may additionally enable session replays and heatmaps. They are used only to understand how the site works and to improve UX — not for advertising. Recordings:
- start only after you accept the banner (the
recorder.jsscript does not load beforehand); - apply strict content masking and exclude the contact form from recording;
- cover only a sample of sessions (not 100% of traffic);
- are stored on our EU infrastructure for up to 30 days.
You may decline recordings — page views and events still work, and the recorder is not loaded. You can change your mind by clearing this site’s localStorage in your browser (the banner will appear again).
Analytics data is not transferred outside the European Economic Area or shared with third parties.
Your rights
You have the right to: access your data, rectify it, erase it, restrict its processing, port it, and object to processing. Where processing is based on consent, you also have the right to withdraw consent at any time (without affecting the lawfulness of processing before withdrawal). You also have the right to lodge a complaint with the President of the Personal Data Protection Office (UODO) if you believe we process your data unlawfully.
To exercise these rights, email office@bearly.pro.
